How To Set Up Your Motion Organization

This tutorial provides a step-by-step guide for setting up a new Motion organization. The presenter covers connecting platform profiles like Meta and TikTok in Account Settings, creating and structuring workspaces differently for brands versus agencies, and connecting ad accounts as data sources. The video also details how to invite team members with different user roles (Admin, Collaborator, Guest) and explains the importance of Meta page permissions for accurately previewing creative assets such as boosted or whitelisted posts.

What's discussed, in order

2 named frameworks

01 Motion User Roles
The different levels of access and capabilities for users within a Motion organization.

02 Brand vs. Agency Workspace Structure
A recommended approach for organizing workspaces based on the type of Motion user.

What's actually believed — in their own words

To get started, users must first connect their platform profiles (e.g., Meta, TikTok) in the "My connections" section of Account Settings.

Speaker 1 · 2024 · observation 00:10 #

The platform profile connected to Motion must have permissions to the ad accounts you intend to link.

Speaker 1 · 2024 · observation 00:32 #

A workspace is the entire Motion page where reports are housed, and users can toggle between different workspaces.

Speaker 1 · 2024 · observation 00:55 #

Brands should consider creating separate workspaces for each ad platform (e.g., one for Meta, one for TikTok, one for YouTube).

Speaker 1 · 2024 · opinion 01:08 #

Agencies should create a single workspace per client, bundling all platforms together.

Speaker 1 · 2024 · opinion 01:20 #

Admins have nearly the same permissions as the account Owner, but they cannot access billing information.

Speaker 1 · 2024 · observation 02:58 #

Collaborators can create and edit reports but cannot add new ad accounts or invite new team members.

Speaker 1 · 2024 · observation 03:16 #

The Guest role provides view-only access to specific, pre-selected workspaces.

Speaker 1 · 2024 · observation 03:31 #

The Guest role is useful for agencies to give clients access to view only their own reports without seeing other clients' data.

Speaker 1 · 2024 · opinion 03:37 #

Motion requires permissions to underlying Meta pages to fully pull in creative previews and data, especially for boosted or whitelisted posts.

Speaker 1 · 2024 · observation 04:14 #

The person with access to the most relevant pages should be the one initially connecting ad accounts to Motion.

Speaker 1 · 2024 · opinion 04:34 #

The do's and don'ts pulled from the session

Do this
  • Speaker 1: In Account Settings, navigate to "My connections" to link your Meta, TikTok, and other platform profiles before connecting ad accounts. 00:16 #
  • Speaker 1: If you are a brand, create a separate workspace for each ad platform you use. 01:08 #
  • Speaker 1: If you are an agency, create one workspace per client and name it after that client. 01:48 #
  • Speaker 1: Add clients as "Guests" scoped to only their workspace to give them view-only access to their reports. 03:37 #
  • Speaker 1: Ensure the user connecting ad accounts to Motion has permissions to all relevant Meta pages where original creative assets might live (client pages, influencer pages). 04:34 #
  • Speaker 1: If you encounter a page permissions pop-up when previewing assets, reach out to Motion support for help resolving it. 04:53 #

    Verbatim transcript, speaker-tagged

    Read the complete 32-paragraph transcript

Speaker 1: If you're creating a brand new Motion organization, there's a few different steps you're going to want to take to make sure you're all set up.

Title card with the Motion logo. Text reads: "GETTING STARTED WITH MOTION" and "Set up your Motion organization".

Speaker 1: First thing you're going to want to do is head down to the bottom left menu and head to account settings.

Screen recording of the Motion app dashboard. The report is titled "Top Performers". A woman's face is in a circle in the bottom right. Her cursor moves to the "Admin" button in the bottom left and clicks it, opening a menu. She selects "Account settings".

Speaker 1: Underneath account settings, you're going to want to head to my connection section. This is where you're going to be linking in a profile. Specifically for Meta and TikTok and the most important if you're working with those different ad accounts.

An "Account" modal window appears. The cursor clicks on the "My connections" tab. The view shows connections for Meta, TikTok, YouTube, and Northbeam.

Speaker 1: This profile, for example, for Meta is going to be the one we are pulling in your different ad accounts from as you're connecting them to Motion. So make sure the profile you connect here has permissions to your ad accounts that we want to link to Motion. Once you've gone ahead and set that up, like I mentioned, we can start to add in those ad accounts.

The modal window closes. The view returns to the main "Top Performers" report dashboard.

Speaker 1: So, you can click create workspace from this top left menu.

The cursor moves to the top left and clicks on the workspace name, "Motion Plus One". A dropdown menu appears with options including "Create workspace".

Speaker 1: Something to keep in mind about this as well too, depending on if you're a brand or an agency, there's two different routes you might want to take here. A workspace, before I show you that, is essentially this page here.

A modal window titled "Create a New Workspace" appears. It has a field to name the workspace and buttons to connect data sources like Meta, TikTok, and YouTube Ads.

Speaker 1: So your entire Motion page and you can toggle between workspaces. So if I went from here to here, it's going to pull a whole different page with that different workspace.

The modal closes. The cursor goes back to the top-left workspace dropdown and hovers over the different workspaces listed, "Motion Plus One" and "SW".

Speaker 1: So something to keep in mind is that if you are a brand using Motion, you may want to create brand new workspaces for each of your ad account types. So workspace one for all of your Meta reports, workspace two for TikTok, workspace three for YouTube. Versus if you're an agency using Motion, you're most likely going to want to create one workspace which is going to hold all of your clients' um reports, whether it's TikTok, Meta and or YouTube all bundled into one. So just something to keep in mind as you're deciding your setup and flow you want to take.

Speaker 1: To do that, head to that top left menu like I mentioned, select create workspace. And this is where you're going to put a name in.

The cursor clicks "Create workspace" from the top-left dropdown menu, and the "Create a New Workspace" modal appears.

Speaker 1: So brands, if you're deciding to break them out, you would say Meta workspace, next one would be TikTok, next would be YouTube. Um, agency side, this is where you'd put probably your client's name here. Next step you're going to want to take is start to connect to the data sources. So click um connect. It's going to show a whole list of the ad accounts that that profile we originally connected under the my connection section has access to. So feel free to connect the ad account that's uh applicable to you in this scenario and break them up as needed.

Speaker 1: Once you've created those different workspaces and loaded in your different ad accounts that you want to pull into Motion, um the next step would be looking at adding brand new members to Motion too. To do that, you can again head down to bottom left menu, account settings and members.

The modal closes. The cursor moves to the "Admin" button in the bottom left, clicks it, and selects "Account settings". The "Account" modal opens. The cursor selects "Members" from the left-hand navigation within the modal.

Speaker 1: You can either do it here or you can click on the organization members tab. This is going to be members part of the whole entire organization, whereas this tab here is going to show you members that have access to this specific workspace, for example.

The "Members" view is shown, listing current members. The cursor points to the "Organization members" link at the bottom of the modal.

Speaker 1: So, what you're going to want to do is click add members.

The cursor clicks the "Add members" button.

Speaker 1: And you have three different stages of members you can add to Motion to your team in order to access these reports.

An "Invite people" modal appears. It has a field for "Email" and a "Role" dropdown. The roles listed are Guest, Collaborator, and Admin.

Speaker 1: One, since you created the account, you're probably going to be the listed owner. We have three different other roles you can add, admins, collaborators, and guests. Admins are able to essentially do everything the listed owner can do except they don't have access to billing information. So admins can create brand new workspaces, they can load in new ad accounts, um they can add brand new teammates to Motion as well, and they can create, edit reports, essentially everything you would want to do in Motion. Collaborators on the other hand can create reports, edit reports, they'll be able to see a full list of all the different workspaces you have access to. The only thing they can't do is add brand new ad accounts to Motion or add brand new teammates to Motion.

Speaker 1: And then third one is guests. Guests can essentially view the specific workspace you give them access to. So think agency side, if you wanted to give your client access to their Motion reports to be able to come in and view them, you can add them as a guest, select them to only see their workspace, not all your other clients' workspaces. They'll be able to log in and just take a look at all the reports. They won't be able to edit reports or create brand new reports, but they will be able to come in and take a peek at the ones you have existing in the account. So those are the three different roles of um members you can add to Motion. One other last thing you might want to keep in mind in terms of permissions is page permissions. So heading back into here, if I were to preview this content for example, say that that initial ad was a boosted post or whitelisted post.

The modal closes. The cursor clicks on a creative thumbnail in the main report. A "Creative insights" panel slides out from the right, showing a video of a candle.

Speaker 1: In those scenarios, the original asset most likely lives on a page itself. Because certain assets live on a page, Motion also does require permissions to those pages, those Meta pages for example, in order to pull the full amount of previews and data through. So in those cases, whoever is initially connecting these ad accounts to Motion, they're going to want to ensure they have access to those pages. So for example, the client Facebook initial Meta page or any influencers that the ads page might be living on, make sure that that person that has access to the most pages is the one in Motion who is initially connecting it. If you run into any issues here though, don't hesitate to reach out. We can walk you through those steps in a little bit more detail to make sure you don't run into any issues with those page permissions. Essentially just make sure you can come in and preview all the different assets you have. If you ever come up with that pop-up, that's when we would need to essentially get those page permissions.

The creative preview in the side panel changes to an image of multiple lit candles.

Speaker 1: So, that's your initial setup to Motion. Next step, we're going to be walking through the platform, going through those two different report styles and all the different features of how to build a report.
